Never lose an admission enquiry again: a follow-up system for coaching institutes
Most admissions are lost not to competitors but to slow or forgotten follow-ups. A simple, repeatable system for coaching institutes: capture, respond fast, counsel, follow up and measure.
Every coaching institute spends money and effort to get enquiries: ads, school seminars, pamphlets, referrals and walk-ins. Yet many enquiries never turn into admissions, often not because the student chose another institute, but because nobody called back in time.
Parents usually compare a few institutes in the same week. The institute that answers first, explains clearly and follows up politely has a real advantage. Here is a simple system any institute can run.
Step 1: capture every enquiry in one place
Enquiries arrive from many directions. Bring them all into one list:
- Website and landing page forms for your ads and courses.
- QR code posters at seminars, school events and your reception, so parents can enquire from their phone in a few seconds.
- Walk-ins and phone calls, entered by the front desk in under a minute.
- Webinars and free demo classes, where every registration becomes an enquiry.
Ask only for what you need at first: name, mobile number, course and current class. You can collect the rest later.
Step 2: respond within minutes, not days
Speed matters more than anything else. A simple rule works well: every new enquiry gets a WhatsApp message within 15 minutes and a call the same day.
Keep a few ready messages so counsellors do not type the same thing again and again:
- A thank-you message that introduces the counsellor.
- A reminder for the counselling session or demo class.
- Fee and instalment details after the counselling.
- A polite follow-up when there is no reply.
Step 3: move every student through clear stages
Use stages that match how admissions really happen, for example:
- New enquiry
- Contacted
- Counselling done
- Demo class attended
- Application submitted
- Fee discussion
- Admitted, or Not interested (with the reason)
When every lead has a stage, the admissions head can see at a glance how many students are close to joining and where enquiries get stuck.
Step 4: never leave a lead without a next step
The single most useful habit: every open enquiry has a next follow-up date. After each call, the counsellor sets the next task, such as "Call back about instalments on Thursday" or "Send scholarship test details".
Each morning, counsellors open their list of today's and overdue follow-ups and work through it. Nothing depends on memory.
Step 5: make counselling easy to book
Let parents pick a counselling slot themselves from a booking page, instead of going back and forth on calls. Confirmed bookings and reminders reduce no-shows, and the counselling appears on the counsellor's calendar.
Step 6: learn from the numbers every month
Once a month, look at four numbers:
- Enquiries by source: which ads, seminars or referrals bring the most enquiries.
- Admissions by source: which sources bring students who actually join. These are often different.
- Response time: how long it takes your team to make the first contact.
- Reasons for losing students: fees, distance, batch timing or another institute. These tell you what to fix.
Spend more on the sources that bring admissions, not just enquiries.
Putting it together
None of this needs a big team. It needs one place where enquiries, conversations and follow-ups live together. TEKYVA is built for exactly this: landing pages and QR posters for capturing enquiries, a pipeline board for admissions, follow-up reminders, WhatsApp click-to-send messages, counselling booking pages, student application forms and reports. Book a free demo and we will set it up around your courses.
