WhatsApp follow-ups that work (and keep your number safe)

WhatsApp is where Indian customers reply fastest. How to follow up personally and quickly, what to avoid so your number is not restricted, and when the official WhatsApp Business Platform makes sense.

For most Indian businesses, WhatsApp is the fastest way to reach a customer. People who ignore a call will often read a message within minutes. Used well, it shortens the time between an enquiry and a sale. Used badly, it annoys customers and can get your number restricted.

Personal messages work best

The follow-ups that get replies are short, personal and expected:

  • They use the customer's name and refer to what they asked about.
  • They come from a real person, with a name.
  • They ask one simple question, such as a good time to call.
"Hi Ananya, thanks for asking about the weekend batch. I'm Rahul from the admissions team. Is 6 pm today a good time for a 5-minute call?"

Compare that with a long forwarded brochure sent to hundreds of numbers. The first starts a conversation; the second is easy to ignore or report.

Save time with ready messages

Write a small set of messages your team can reuse, with the customer's name filled in automatically:

  • Thank you for your enquiry
  • Reminder for a visit, demo or meeting
  • Price or fee details after a conversation
  • A polite follow-up when there is no reply
  • Welcome message after the customer joins

With click-to-send, the message opens in your own WhatsApp with the text ready, and you press Send. You stay in control of every message, and each one is logged on the customer's record so the whole team knows what was said.

What to avoid

WhatsApp is designed for conversations, not mass advertising. To keep your number in good standing:

  • Message people who contacted you or agreed to hear from you. Do not buy contact lists.
  • Do not send the same promotional message to many people who never asked for it. Users can block and report you, and too many reports can lead to restrictions on your number.
  • Respect the time of day. Avoid late-night messages.
  • Let people opt out, and honour it.

Also remember that SMS in India has its own rules (sender registration under TRAI's DLT system), and WhatsApp messages must follow Meta's WhatsApp policies.

When to use the official WhatsApp Business Platform

The WhatsApp Business app on your phone works well for personal, one-to-one follow-ups. When your volume grows, the official WhatsApp Business Platform (the API, through Meta or an approved provider) adds features such as:

  • Approved message templates that can be sent automatically, for example reminders.
  • A shared inbox for the whole team on one number.
  • Automatic replies and chatbots.

It requires business verification with Meta, and messages are charged by Meta per conversation category, so it makes sense once you have a steady flow of conversations.

How TEKYVA helps
